Create a New Section

Definition

A section is defined as a new page with a single content topic and a content wrapper.

What You Need To Provide

1. Name of the Section.
Example: “I want a section on Sports.”

2. Indicate the list and page templates. If not provided, default templates will be selected.The default list template is the primary template used across the website. The default top, right and bottom templates are setup in the default content wrapper.
Example: “Use the Basic – Title [Headlines] list and the Sports content wrapper.”

3. Desired user flow to get to the new section.
Example: “I want to add a menu item between News and Weather.”

Create a Website Advertisement

Definition

Ads are made up of three basic pieces: the DFP ad slot, the WordPress advertisement widget and the DFP ad order. The creation of a new advertising position on the website is driven by the DFP ad slot and the WordPress advertisement widget. The DFP order is created separately from this request.

What You Need To Provide

1. Size of the advertisement.
Example: “I want an additional 300×600 advertisement.”

2. Desired location of advertisement.
Example: “The new 300×600 should be added at the bottom of the Sports right rail template.”

What You Get

  • New DFP ad slot
  • New WP Advertisement widget
  • Advertisement widget added to a page template or up to 5 pages

IMPORTANT: 

A. If the Rayos team does not have access to your DFP account you must create the ad slot and provide the ad tag to the support team.

B. Ad orders must be trafficked in DFP to the new ad slot before any advertisement will display on a webpage.

Create a Form

Definition

A form is a series of fields used to collect data from website visitors.

What You Need To Provide

1. Form name and fields to be included.
Example: “I want an advertising form including first name, last name, company name, address, phone number, email address, comments and image upload. Images should only be uploaded in png or jpg format.”

2. Name of Page where the form will reside.
Example: “The form should be placed on an Advertise with Us page.”

3. Desired user flow to get to the new Form
Example: “Add a link in the right rail menu on the Contact Us page.”

Create Author Bios

Definition

Author Bios are the author profiles displayed when an author name is clicked from an article. The author bio template determines the display of the profile page. One template is used for all author bios.

What You Need To Provide

1. Author name and associated WP user account
Example: “Please setup an Author Bio for Jane Smith. Her WP user account is jsmith@email.com.”

2. Author description
Example: “Jane started 7 years ago as a Field Reporter for WLXA. She is now the morning news anchor. Jane has three children with her husband, Dan and they live in Westport. Jane has a passion for news and enjoys hiking with her family on the weekends.

Advertising Requests

Note: Advertising trafficking requests require that you have previously given DFP access to the Rayos Support & Production team. The Rayos team only offers ad trafficking services for customers using DFP.

Standard Trafficking Request

Definition

Standard Ad Campaign Requests are defined as submissions to the Ad Order Request Form using images or ad tags that are using the standard trafficking options offered by the submission form. It’s recommended that ad orders are submitted at least 2-3 days prior to start date.

Requests to update an existing campaign is considered one Standard Ad Campaign Request.

*Standard Ad Campaign Requests are very often processed faster than stated SLAs. Same day start dates can be submitted but unless the request is marked as a “Rush Trafficking Requests” orders are processed in the order they are received. If your order is processed after the indicated start date, the order will be adjusted to the date is processed.

What You Need To Provide

Submission of Ad Order Request form including all required fields

What You Get

The ad order as requested in the ad order request form. If the Rayos team has questions about your custom targeting and/or notes, the ad trafficking team will request clarification. The timeline for processing will begin once all clarifications have been made.

Rush Trafficking Request

Definition

Rush Ad Campaign Requests are defined as submissions to the Ad Order Request Form using images or ad tags that are using the standard trafficking options offered by the form, that have been marked “Rush Order” by the customer.

What You Need To Provide

Submit the Ad Order Request form with the Normal or Rush order field set to Urgent.

What You Get

The ad order will be scheduled within 24 hours.

Standard Report Setup

Definition

Standard Reports are defined as any standard DFP or standard GTxcel reports. A list of standard reports can be found here. Standard reports are to be delivered to a single email address on a set frequency. If you require a one-time report, please reference the Ad Hoc Report section.

What You Need To Provide

  1. Standard Report name, as listed on Standard Ad Reports page
    Example: “I would like the Currently Running Campaign report by Order to be setup.”
  2. Email address where the report will be sent
    Example: “Send the report to Tina Smith at tsmith@email.com.”
  3. Frequency of delivery
    Example: “The report will be received every Monday.”
  4. If required: the desired timeframe for the
    Example: “The report will show the previous weeks data.”

What You Get

The Rayos Ad Support team will build out a standard report to be delivered on the frequency indicated. If you need multiple reports delivered at different time periods, each report request is considered 1 point. If a standard report is requested and changes to the setup are required, the request will be considered a Ad Hoc Report request (AD-4).

Ad Hoc Report

Definition

An Ad Hoc report is defined as any customized report outside of the standard reports. Any single-use report would be considered Ad Hoc. Customized reports may be built off of standard reports, or they may be built from scratch using the dimensions (how it’s organized) and the the metrics (data you want to see) to get the desired report.

What You Need To Provide

  1. List of the dimensions to include in the report. The full library of dimensions can be found here.
    Example: “The report will be organized by line item name and creative name.”
  2. List of the metrics to include in the report. The full library of metrics can be found here.
    Example: “The report will show the total impressions, click and CTR.”
  3. Timeframe
    Example: “The report will show all line items for the previous month.”
  4. Frequency of delivery
    Example: “The report will be delivered on the first business day of each month, showing the previous month’s data.” 
  5. Email where the report should be sent
    Example: “Email the report to Tina Smith at tsmith@email.com.”

What You Get

The Rayos Ad Support team will build out the customized report. A sample report will be sent for approval. Once approved, the report will be setup for delivery on the frequency indicated.

Rich Media Request

Definition

Rich Media Ad Campaign Requests are defined as submissions to the Ad Order Request Form using ad templates and/or ad code from third parties. These templates include code that must be tested with website code to validate there are no conflicts and that the code works properly.

**IMPORTANT: The first time a third party template is used three weeks lead time should be given before the campaign start date to allow for proper debugging and back and forth between the third party company and the Rayos team. If you have successfully used the third party/template before, standard resolution goals apply.

What You Need To Provide

  1. Submission of Ad Order Request form with all required information
  2. Third party ad tag that includes all functionality for the ad in the ad template provided. The Rayos team does not write custom html, css or JS to make ads perform or have specific behaviors such as sticking, floating, etc.

If the Ad will run to a new ad spot in the CMS, please request to Create an Advertisement.

What You Get

The Rayos Ad Support team will run the ad tag through a DFP ad order on your behalf. If the ad does not work as expected, the debugging process must begin between the third party provider and the Rayos team. It’s very important to leave enough lead time for proper debugging to take place.

Ad Debugging

Definition

Investigation into any of the following cases:

  • Ad(s) not appearing in expected location
  • Ad or specific order not delivering expected impressions

What You Need To Provide

  1. Your expectations for what should be happening and what you see happening instead
    Example: “I wan the Bruins ad and the Skate Store ads to be rotating together in the first 300×250 in the top right rail on the Sports page… but I only see the Bruins ad “
  2. Ad campaign details
    Example: “The ad is called ‘Bruins Playoffs’. It began on March 1st and runs through March 31st. The Skate Store ad is called ‘Spring Skate Clearance.’ It runs all year.”

What You Get

The Rayos Ad Support team will investigate both the DFP setup and the CMS setup to determine why the ad(s) are not running as expected.

Note: If the problem is in the CMS and is not a custom setup, the ad debugging will be non-billable.

If the cause of the problem was confusion around your written instructions the debugging will be billable, but the Rayos trafficking team will also indicate instructions for how to request similar set ups going forward so that you do not run into further problems.

The actual points will be determined based on the amount of time it takes for the trafficker to figure out the problem and solve it.

Ad Slot Creation

Definition

Ad Slots are the actual code on the website page that call out to DFP to request an ad. These slots are created in DFP and corresponds to an Advertisement in WP or an advertising space in the App. The majority of your default ad slots are created during the initial implementation of your website. However, over time you may want a new ad size or placement. In those cases, you will need to request a new Ad Slot be created before your team can traffic ads to that position.

What You Need To Provide

  1. Size(s) of the advertisement and where that ad should live
    Example: “Please create a third 300×250 ad slot and place it on the entertainment page and all sub pages of entertainment.”

What You Get

The GTxcel Ad Support team will create an ad slot in DFP. Once the slot is created it will be placed on the pages as directed. Once placed, ads may be trafficked to that slot.

New Employee Training

Definition

The Ad Order Request form is a GTxcel form where all Premium Ad customers enter all ad order data for our Ad Support team to create and schedule ads. It’s recommended that

What You Need To Provide

  1. Name and email address of the trainee
    Example: “Our new employee, Jason Smith, needs training on the ad form. You can reach him at jsmith@gtxcel.com.”
  2. Confirmation of date and time availability
    Example: “Yes, Tuesday at 2:30 p.m. ET works for us.”

What You Get

GTxcel’s Support team will provide a few dates and times available for training within two business days the ticket being opened. Once a date and time is agreed upon, GTxcel will provide a Go To Meeting invitation in the support ticket. It’s strongly recommended to manually add this to your calendar.

Add a Custom User Role

Definition

Default User Roles are defined for each user type: Publisher, Editor, Author and Contributor. Default roles have assigned access to capabilities. GTxcel can create a new user role to customize an existing default role. Most commonly, this is used to prevent access to a specific editorial category or feature functionality.

What You Need To Provide

1. Name of new user role
Example: “I want a new editor role called Editor1.”

2. Indicate what features or functionality should be restricted.
Example: “The Editor1 role should not have access to the ungrouped categories.”

3. Provide a list of up to 5 users that should be changed to the new role.
Example: “Change the following users to Editor1 role: Jane Smith, Henry Lane, Carol Evans, WebTeam, David Jones.”

  • New user role created
  • User role access setup
  • Up to 5 users set to the new role

Add Third Party Code To Header/Footer

Occasionally you may need to add code to your site from a third party, for verification or other purposes. This code generally needs to be placed in the header or footer across the entire site. The code and the instructions are provided by the third party service.
